Understanding the Event Profile
The Event Profile provides access to all Event information related to a single Event. You can also add new Registrations, print Event level reports, create new Tickets and much more.
Event Profile Page - Four Grids
The above captures a screen shot of a basic Event Profile page. General information is captured within the Event Info box while the capacity, days to event, and registration URL are showcased in the Status box. The registration URL is automatically generated when you create an event. Underneath, you will notice 4 tabs: Attendees, Registrations, Tickets, and Waitlist. The grid that is populated will have the button in grey, showing it is selected, like the Attendees grid is selected in the above screen shot. A brief description for each tab is below.
Attendees: This grid captures all attendees going to the Event.
Registrations: This grid outlines who registered the individual or group of attendees.
Tickets: This grid shows every item, or Ticket, purchased. If someone buys more than one item, they are repeated in multiple rows.
Waitlist: This grid appears only if you choose to have a Waitlist and the number of attendees exceeds the Event capacity.
By clicking on any of the blue column titles with the drop down arrow (Any Registrant, Any Attendee, Any Company, Any Tickets, Both, No, All Reg. Status) a search box will appear and you are able to search within that column.
Event Profile Page - Three Action Buttons
Create Registration - This allows you to register an existing contact within your database or a new contact to this specific Event.
Mark Attended - This allows you to keep track of the final attendance list, after the Event. Click the small square next to the attendee's name. You will see a small green check mark. Then, click on 'Mark Attended.' This will generate a green check mark in the 'Attended' column. This allows you to filter out who registered and did attend versus who registered but did not attend.
Clear Attended - If you need to remove the green check mark in the 'Attended' column, select the person by clicking on the small box next to their name. Then click on 'Clear Attended.' This will remove the 'Attended' check mark and now display the attendee as a no-show to the Event.
Event Profile Page - Edit, Copy, Deactivate
Edit - By clicking this button, the system will bring you back to the editing page of the Event. You will notice that the option to have a Simple versus Advanced Event is no longer available since the Event has already been created.
Copy - This feature allows you to clone the entire Event including the set up details and tickets. It will not carry over registrants and attendees information, but just the Event details.
Deactivate - This will make your Event Inactive and no longer live or available to registrants. Once you press this button two new buttons will appear: Delete or Activate. By pressing Delete, your Event will be wiped from the system entirely. By pressing Activate, your Event will become live and Active again.
Event Profile Page - Searching and Reporting
Top, Right Corner Printer Icon - When clicking this button, a drop down of Profile Event Reports will appear. These are PDF reports and come with each event. These reports are standard with the DRG system and may be referred to as Sub-Event Reports.
Lower Printer Icon - This allows you to view an Attendee report via Excel.
Search - By clicking right on the binoculars, it will open up an advanced filter for you to search within your attendees. When clicking on the arrow, you will have a drop down list of saved search filters.
